OUR SERVICES INCLUDE:



Pre-Event Functions

  • Prepare detailed event budgets.

  • Search and book event venues and make lodging reservations.

  • Expedite immigration and customs clearance for delegates or participants.

  • Ensure adequate availability and maintain control of all audio-visual and presentation equipment.

  • Arrange for appropriate VIPs to grace official-opening, certificate-conferring, and closing ceremonies.

  • Identify and recommend appropriate corporate promotional items, arrange for secretarial services, prepare event invitations, and confirm attendance

  • Provide local transport and arrange for transfers for participants and equipment/supplies.


Conference Room Setup Functions
  • Set up meeting rooms; arrange materials and supplies; provide writing materials, name tents, and name tags.

  • Arrange audio-visual and presentation equipment.


Meal and Beverage Supervision Functions
  • Negotiate competitively priced, quality wholesale food and beverage service package prices.

  • Arrange daily menus for meals and refreshment breaks. We also plan for special social events including cocktail parties and catered dinners.


Logistical Functions
  • Maintain attendance register and prepare expense accounts and follow-up report.

  • Administer post training/conference evaluation.

  • Pay or reimburse participant dinner and transportation per diem.

  • Help participants purchase local currency and confirm return airline tickets.

  • Recommend local sight-seeing, restaurants/eating facilities, and other local attractions; manage group social outings to select locations.

  • Provide transportation to and from hotel and airport.

A Quick Look

We are especially proficient at helping non-African entities carry out projects in Africa. For example, we provided conference organization and event management services to the Atlanta-based Centers for Disease Control in preparing Tanzanian medical doctors to respond to the avian flu pandemic; facilitated the New York City Department of Investigation’s training of investigators from the Prevention and Combating of Corruption Bureau in Tanzania; and handled local travel logistics for the University of California at San Francisco in its HIV/AIDS research in Tanzania—visiting over 40 HIV/AIDS voluntary testing centers.

Our event management assistance frees clients from the logistical burden of operating in an unfamiliar region, and our local clients from time-consuming administrative arrangements and logistical details. Both international and local clients are then free to concentrate on core event agendas, content, and key project operations.
